General Terms and Conditions
By confirming your booking with Hidden Wood Glamping, you acknowledge that you have read, understood, and agreed to the following Terms and Conditions.
These Terms form part of your contract with us and apply to all reservations made directly or through our Anytime Booking system. Please ensure you read them carefully before completing your booking, as they outline your rights and responsibilities during your stay.
Booking and Payment Conditions
All reservations are managed through our Anytime Booking system.
To secure your booking, a 30% deposit is required for stays of two nights or longer (including two nights). Guests also have the option to pay the full amount upfront if preferred.
If the calculated deposit is less than £60, a minimum deposit of £60 will apply.
For any stay of less than two nights, full payment is required at the time of booking.
The deposit is non-refundable and non-transferable, and cannot be applied to a different guest name, new date, or booking.
Extras (such as pet fees, firewood) are not included when calculating the deposit amount.
The outstanding balance must be paid no later than 14 days before arrival. An automated reminder will be sent 17 days before arrival, but it is the guest’s responsibility to ensure payment is completed by the deadline.
If the balance is not paid by the due date, the booking will be automatically cancelled, and the deposit forfeited.
For bookings made within 14 days of arrival, the full amount is due immediately at the time of booking and is non-refundable once processed.
After payment is received, a confirmation email will be issued to the lead guest. Please review it carefully and contact us promptly if any details are incorrect.
Cancellation of Booking
You may cancel your booking more than 14 days before your arrival date without additional charges; however, the deposit is non‑refundable and non‑transferable.
If you cancel within 14 days of arrival, the full cost of your stay will still be due.
If we are able to re‑let your unit for the same dates, we may, at our discretion, refund part or all of the balance (excluding the deposit).
Hidden Wood Glamping will only issue refunds when required by law or where there has been a significant failing on our part which prevents your stay from going ahead.
We strongly recommend taking out personal travel or holiday cancellation insurance to protect against unexpected events such as illness, bereavement, or travel disruption.
In the event we are forced to cancel your stay due to circumstances beyond our control (e.g. extreme weather, site damage, or mandatory closure), you will be offered the choice of an alternative date or a full refund of all monies paid.
Amendments to Your Booking
To request any changes to your booking, please contact us by email at enquiries@hiddenwoodglamping.com as soon as possible.
We will always try to accommodate minor changes (such as adding extras or updating guest details), subject to availability and possible price adjustments.
Major changes, including altering the dates of your stay or the length of stay, cannot normally be made within 14 days of arrival unless agreed by the owners at their discretion.
Any approved change may be subject to an administration fee and/or price difference for the new dates.
Changes are not confirmed until you receive a revised booking confirmation from us through the Anytime Booking system.
If a new booking date is offered but cannot be accepted, the standard cancellation terms will apply.
Minimum Age
The lead guest making the booking must be at least 18 years old at the time of reservation.
The lead guest is responsible for the behaviour and safety of all members of their party during the stay.
Bookings cannot be made by anyone under 18 years of age, and we reserve the right to request proof of age or identity at check-in if required.
Special Offers
Only one discount or promotional offer can be applied per booking.
Offers and discounts cannot be applied retrospectively to existing bookings.
All offers are subject to availability and may be withdrawn or amended at any time without notice.
If an offer has specific conditions (such as minimum stay, valid dates, or eligibility), these must be met in full for the discount to apply.
Visitors & Gatherings
Visitors are not permitted on-site unless approved in advance by the owners.
For safety, insurance, and site management reasons, large gatherings, parties, or events are not allowed.
The total number of occupants and visitors must never exceed the unit’s stated capacity.
Breaching these conditions may result in immediate termination of the booking without refund.
Camping
Additional camping (such as tents, campervans, or extra sleeping arrangements) is not permitted unless agreed in advance by the owners.
Any approved camping setup may be subject to additional charges and must comply with site safety and fire regulations.
Unauthorized camping or overnight stays outside booked accommodation may result in the termination of the booking without refund.
Facilities
All equipment, furnishings, and linen provided with your accommodation must remain inside the unit at all times.
Items supplied for indoor use are not to be taken outside, including bedding, towels, kitchenware, or electrical equipment.
Any loss or damage to facilities or equipment may result in additional charges.
Pets
Up to two well‑behaved dogs are permitted in each unit (unless otherwise agreed) at a charge of £20 per stay.
The pet fee must be added at the time of booking; unregistered pets may not be accepted on arrival.
Owners must bring their own pet bedding, towels, and feeding bowls.
All fouling must be cleaned up immediately and disposed of in the designated waste bins.
Dogs must be kept on a lead at all times when outside the secure private garden, particularly in fields where livestock or wildlife are present.
Pets must be supervised at all times to ensure their safety and to protect wildlife and farm animals.
Please ensure pets do not climb on furniture or beds and are never left unattended in the unit or on the site.
Any damage or extra cleaning required as a result of pets may be charged to the guest.
Vehicles
Access to the site is via a grassy and stone private driveway; please drive carefully and at a low speed when entering or leaving.
Guests may park only in the designated parking areas provided.
While the site is private, secure, and off the public road, Hidden Wood Glamping cannot accept responsibility for any loss, theft, or damage to vehicles or their contents during your stay.
Vehicles and contents are left entirely at the owner’s risk.
Smoking
All accommodation units, decks, and enclosed spaces at Hidden Wood Glamping are strictly non‑smoking.
Smoking (including e‑cigarettes and vaping devices) is only permitted in designated outdoor areas, a safe distance from buildings and fire‑risk zones.
Cigarette butts must be fully extinguished and disposed of in the bins provided — not in the grass, fire pits, or general waste.
Breaching this policy may result in a cleaning charge or termination of stay without refund for fire safety reasons.
Hot Tub & Sauna Safety
Guests must read and follow all safety and usage instructions provided in the unit before using the hot tub or sauna.
For hygiene and safety, the hot tub is checked and treated daily in line with recommended standards. Please allow staff access for maintenance when required.
Children under 12 and pregnant women should not use the hot tub or sauna. Older children must be supervised at all times.
Do not use glass containers, soaps, oils, or bubble products in or near the hot tub.
Guests should avoid using the hot tub or sauna after consuming alcohol or drugs, or if feeling unwell.
Hidden Wood Glamping accepts no responsibility for accidents, illness, or injury arising from misuse or failure to follow the safety rules provided.
Children & Supervision
Children must be supervised at all times, both inside and outside the accommodation.
Extra care should be taken around steps, decking areas, the hot tub, the sauna, and the nearby Roden Brook stream.
Although the stream is shallow, its banks are steep and slippery, and it lies outside the fenced garden area.
Parents and guardians are solely responsible for the safety and behaviour of their children during their stay.
Please also ensure that pets and children remain within the secure fenced area unless accompanied by an adult.
Environment & Wildlife
Guests are asked to respect the natural environment and local wildlife throughout their stay.
Picking, collecting, cutting, uprooting, or damaging any plants, trees, or vegetation is strictly prohibited.
Many species on site are protected under the Wildlife and Countryside Act 1981 (as amended) and the Conservation of Habitats and Species Regulations 2019.
It is a criminal offence to deliberately capture, injure, kill, or disturb protected species, or to damage or obstruct their breeding or resting places.
Protected wildlife on or near the site may include otters, badgers, bats, and water voles.
Any activities likely to harm, frighten, or disrupt wildlife or their habitats are not permitted.
Wildlife Shelters & Hibernacula
Each glamping unit includes a wildlife refuge or hibernaculum, a partially buried structure of logs, stones, and soil designed to provide safe habitats.
Please do not disturb, move, or remove any part of these features.
Bug hotels and other insect habitats are installed around the site, these must not be touched or interfered with.
Children and pets must be supervised near all wildlife structures, as they form an important part of our biodiversity conservation efforts.
Site Respect & Noise
Guests are expected to act responsibly and to respect other guests, the site, and the natural environment at all times.
Please keep noise levels low, especially during the evening and early morning hours, to preserve the peaceful atmosphere of Hidden Wood Glamping.
Loud music, shouting, or disruptive behaviour is not permitted.
Persistent disturbance or disrespectful conduct may result in guests being asked to leave the site without refund.
Fire Safety & Ash Disposal
For everyone’s safety, please follow all fire safety instructions provided in your unit and on site.
Ash from fire pits, hot tubs, and saunas must be placed only in the metal ash bins located behind the units once it has fully cooled.
Do not dispose of ash or embers on the grass, in general waste bins, or outside fenced areas.
Open fires are allowed only in designated fire pits or barbecue areas and must never be left unattended.
Ensure all fires and barbecues are fully extinguished before leaving them or retiring for the night.
Failure to follow these rules may result in additional cleaning or damage charges and poses serious fire safety risks.
Drugs & Alcohol
Illegal drugs or substances are strictly prohibited anywhere on the premises.
Guests found using or possessing illegal drugs will be required to leave the site immediately and may be reported to the authorities.
Alcohol may be consumed responsibly by guests of legal drinking age.
Excessive drinking, disorderly conduct, or behaviour that disturbs other guests or damages property will not be tolerated and may result in immediate removal without refund.
Behaviour, Breakages & Damage
All guests are expected to treat the property, facilities, staff, and other guests with respect at all times.
Abusive, aggressive, or inappropriate behaviour - whether verbal or physical - will not be tolerated and may result in the immediate cancellation of the booking and removal from the property without refund.
Guests are responsible for any damage, breakages, or excessive cleaning required as a result of their actions, whether accidental or deliberate.
Hidden Wood Glamping reserves the right to invoice guests for repair or replacement costs resulting from extensive, careless, or intentional damage.
Unpaid charges may be passed to a third‑party debt recovery service if not settled within the stated timeframe.
Please report any damage or maintenance issues as soon as possible so they can be dealt with promptly and fairly.
We ask everyone to help maintain a safe, peaceful, and enjoyable environment for all guests on site.
Information Accuracy
We make every effort to ensure that all information displayed on our website, social media, and on-site materials is accurate, current, and reliable.
Occasionally, details such as prices, facilities, or local activity availability may change. Where this occurs, we will update our information as soon as reasonably possible.
Hidden Wood Glamping cannot be held responsible for any errors, omissions, or third‑party service inaccuracies beyond our control.
